Mail management

Thanks to Avanteam Mail ManagerThis town hall in the north of France has largely optimized the processing of its mail to the great satisfaction of its citizens.

The need

In 1999, this municipality decided to modernize its computerized mail registration and tracking system in order to better negotiate the Y2K transition. The benefits sought were as follows:

 

  • Automate and simplify the administrative tasks of the mailroom as much as possible
  • Optimize and secure the distribution of mail to the various departments
  • Accelerate decision-making and responses to users

Following a call for tenders, the project group of the town hall chose the software Mail Manager software for mail management which offered the best functional coverage while being easily integrated into the municipality's IT environment.

Today the solution manages more than 15,000 letters and offers the following advantages

 

  • Time saving: the rapid registration and availability of electronic mail saves valuable time in research and consultation.
  • Better productivity: processing mail in electronic format avoids the time and money wasted by paper-based management.
  • Better user service: fast and relevant access to information speeds up decision-making and the responses provided to users.

    For the IT department in charge of this project, the following features of Mail Manager were decisive:

    • The flexibility to customize the application: mail registration form, processing workflow, business rules, ... to keep it in line with the evolution of work procedures and organizational changes.
    • Accessible to operational staff allowing them to reconfigure their application without going through heavy and expensive developments.
    • An ergonomic user interface that makes it easier for users who are not particularly used to a computer tool to get the hang of it
